Notarial copies

What is a notarial copy?

A notarial copy is a reproduction of an original document that has been executed before a Notary Public. It can be an authenticated or certified copy (with full legal force and effect) or a simple copy (for informational or documentary purposes).

The Notary Public certifies that this copy is faithful to the original, thus ensuring its validity, authenticity, and legal certainty.

When can I request a notarial copy?

You can request a notarial copy as long as you are an interested party in the document or can prove a legitimate interest, and the original document is on file with the Notary Public. Some common examples:

  • You need an authenticated copy of a deed of sale to register it in the Property Registry.
  • You need a simple copy of a will or power for your records.
  • A copy is required to present to a public administration or bank.

In some cases, the copy must conform to a specific format (paper, digital with CSV, etc.), and the Notary Office will help you choose the most appropriate format.

Types of notarial copies

This copy has the same legal validity as the original document. It is usually printed on letterhead and bears the Notary's signature and seal.

Ideal for presentation to registries, courts, or official bodies.

Faithful reproduction of the content, without full legal validity. It is used for reference or for procedures that do not require direct legal effects.

Increasingly common, it includes a Secure Verification Code (CSV) for online validation.

Useful for digital procedures.

Who can request a copy?

Only the following may request copies:

  • The parties involved in the deed.
  • Heirs, attorneys, or legal representatives.
  • Other persons with a legitimate interest, upon justification.

The request can be made in person or online through another Notary Office, in which case the right to a copy must be accredited to this Notary Public.
